Records Management Responsibilities

  • Lead or support key projects, including Board Management Records Consolidation, Metrics Reporting, and Purge Process Improvement.
  • Create or moderate inventories and update records in databases.
  • Classify and organize materials and data, including indexing and abstracting.
  • Audit retention databases to ensure data accuracy and compliance.
  • Collect and analyze statistical data to support the records retention and instruction program.
  • Draft program-related documents such as process guides, retention schedule amendments, training materials, and other resources as needed.

General Responsibilities

  • Research, compile, and analyze data, as well as enter information into spreadsheets, databases, and other automated tools; prepare detailed queries and reports.
  • Review forms, correspondence, reports, and other documents for accuracy, completeness, and compliance.
  • Assist in analyzing agency policies, procedures, and forms, offering recommendations to improve efficiency and effectiveness.
  • Support special projects and other assigned tasks as required.

Requirements for Internship

Required Education

  • Must be presently enrolled and actively attending an accredited college or university.
  • Undergraduate Students: Declared major in Library Science, Information Science, Computer Science, Liberal Arts, Business, or a closely related field.
  • Graduate Students (Master’s or Doctoral): Enrolled in an appropriate program such as Library Science, Information Science, Computer Science, Liberal Arts, Business, or a related field.
  • A copy of official college transcripts is required.

Required Experience

  • No prior experience necessary. Required Registration, Certification, or Licensure None required.
  • Preferred Qualifications
  • Enrollment as a junior or senior undergraduate or graduate student in a relevant field of study, such as Information Science, Computer Science, Business, or Liberal Arts.
  • Strongly encouraged to provide letter(s) of recommendation from program professors.
  • Proficiency in Microsoft Office software is preferred.

Knowledge, Skills, and Abilities

Knowledge of:

  • Standard office practices and procedures.
  • Records and imaging management principles and techniques.

Skills in:

  • Organizing and prioritizing tasks to handle high-volume workloads in a fast-paced environment, ensuring accuracy and meeting deadlines.
  • Conducting data searches, analyzing large datasets, and preparing clear, accurate reports and recommendations.
  • Communicating complex information clearly and effectively, both verbally and in writing, with accuracy and sound judgment.
  • Delivering excellent customer service.
  • Reviewing and interpreting documentation, applying laws, regulations, rules, and policies appropriately, and making sound decisions.
  • Utilizing personal computers, particularly in Windows and Microsoft Office environments (Word, Excel), and performing accurate data entry.
